Executive Administrative Officer (Senior Manager/Manager Level)

Salary Range: 10,000 – 15,000 RMB

Job Responsibilities:

  • Responsible for drafting various company documents, including official communications, reports, summaries, information manuscripts, and leadership speeches. Ensure documents are standardized, well-organized, logically rigorous, precisely and fluently written, and accurately convey leadership intentions, while adhering to Party and national guidelines, principles, and policies.
  • Manage the full lifecycle of incoming external documents and internal requests/reports. Strictly follow high standards for receiving, registering, numbering, circulating, approving, and archiving documents. Establish a comprehensive and traceable document flow ledger. Promptly submit documents to relevant leaders for review and approval based on nature and urgency, and accurately disseminate approved instructions to relevant departments for processing. Monitor departments to ensure timely feedback and efficient document circulation and completion.
  • Organize important meetings, including defining themes, scheduling agendas, arranging venues, debugging equipment, and notifying attendees. Handle recording and coordination during meetings. After meetings, organize materials, draft and publish meeting minutes, and follow up on the implementation of meeting resolutions.

  • Responsible for the collection, organization, preservation, statistics, and utilization of various company archives. Operate strictly in accordance with archive management regulations to ensure the completeness, security, and accessibility of archives. Establish and improve archive management systems and procedures, and regularly inventory and inspect archives. Responsible for the custody, use, and registration of company seals, strictly enforcing the seal usage approval system.
  • Complete other tasks assigned by leadership.

Qualifications:

  • Education: Bachelor’s degree or above.
  • Major: No specific major requirement.
  • Age: 40 years old and below; exceptions may be made for exceptionally outstanding candidates.
  • Political Affiliation: Member of the Communist Party of China.
  • Work Experience: 8 years or more of work experience, with 5 years or more in an administrative role. Experience working in government agencies, public institutions, or state-owned enterprises (SOEs) is preferred.
  • Other Requirements: Familiar with office work processes and management models; possesses excellent communication skills, official document drafting abilities, and comprehensive coordination skills. Familiar with key meeting procedures of government agencies, public institutions, and SOEs (e.g., Party Committee meetings, Board of Directors meetings, General Manager’s office meetings), and capable of independently drafting various comprehensive materials. Possesses good character and professional ethics, with a global perspective and cooperative spirit, a strong record of performance, and high stress resistance. Familiar with relevant national and local laws and regulations concerning administrative management, human resource management, and confidentiality management, and able to effectively apply policies and regulations in practical work. Meets other qualification requirements stipulated by relevant laws and regulations.

岗位职责:

  1. 负责公司各类公文、文件、报告、总结、信息文稿及领导讲话等综合性材料的起草,行文规范、条理清晰、逻辑严谨,文字表达精准流畅 ,能够准确把握领导意图并转化为文字内容,并确保符合党和国家的路线、方针、政策。
  2. 承担公司外来文件、内部请示及报告的全流程管理职责,严格遵循高标准规范开展文件接收、登记、编号、传阅、呈批及归档工作,同步构建精准可溯的文件流转台账;严格按照文件性质和轻重缓急,及时呈送相关领导阅批,并根据批示意见准确传递至相关部门办理,并督促承办部门及时反馈结果,确保文件高效流转、及时办结。
  3. 负责承担重要会议的组织工作,包括会议主题确定、议程安排、场地布置、设备调试、参会人员通知等会前准备工作;负责会议期间的记录、协调等事务;完成会议结束后的材料整理、会议纪要撰写与发布,并跟进会议决议的执行情况。
  4. 负责各部门间的沟通协调工作,及时传递信息,解决部门间协作过程中出现的问题,促进公司内部的协同合作,提升整体工作效率。
  5. 负责公司各类档案的收集、整理、保管、统计和利用工作,严格按照档案管理规定进行操作,确保档案的完整性、安全性和可查阅性。建立健全档案管理制度和流程,定期对档案进行清点和检查。负责公司印章的保管、使用和登记工作,严格执行印章使用审批制度。
  6. 完成领导交办的其他工作任务。

任职要求:

  1. 学历:本科及以上学历;
  2. 专业:不限;
  3. 年龄:40周岁及以下,特别优秀的可适当放宽年龄要求;
  4. 政治面貌:中共党员;
  5. 工作经验:具有8年及以上工作经验,5年及以上行政岗位经历;具有党政机关、事业单位或国有企业办公室工作经验优先;
  6. 其他要求:熟悉办公室工作流程与管理模式,具备良好的沟通技巧、公文撰写能力以及综合协调能力;熟悉机关事业单位和国有企业党委会、董事会、总经理办公会等关键会议流程,能独立起草各类综合材料;具有良好的品德和职业素养,具备全局意识和合作精神,履职记录良好,抗压能力强;熟悉国家、地方有关行政管理、人力资源管理、保密管理等方面的法律法规和政策文件,能够将政策法规有效运用到实际工作中;符合有关法律法规规定的其他资格要求。
